Freedom of Information Notice
You may request access to any record held by the College of Health and Care Professionals of British Columbia (CHCPBC). We will respond to your request in accordance with the Freedom of Information and Protection of Privacy Act (FOIPPA).
Are any records available without request?
We make some records available without request, including the following:
- Board meeting minutes and guidelines
- Board and Committee policies, guidelines, code of conduct, and composition matrix
- Committee terms of reference and composition matrices
- Scheduled disciplinary hearings and disciplinary actions (public notices)
- License verification information
- Registration and professional practice information for applicants and registrants
- Legislation, Bylaws and Standards
- Newsletters
Applicants and registrants can also access some record types via the Applicant Portals and Registrant Portals.
How can you access records not available via the above links?
You can submit a freedom of information (FOI) request to the CHCPBC Privacy Office by emailing us at foi@chcpbc.org.
Your request must provide your full contact information and must provide sufficient detail to allow a CHCPBC staff member to identify the records you are seeking.
If you are seeking access to your own personal information, refer to the Privacy Notice.
Exceptions to what CHCPBC can disclose
In most cases, you will receive the record(s) you requested. Please note that according to applicable law, the College is unable to disclose certain types of information.
The exceptions to disclosure are listed in sections 12 to 22 of FOIPPA.
Is there a fee for accessing records?
As permitted under FOIPPA, you may be required to pay additional processing fees, including a deposit. We will give you an estimate of any additional fees before processing your request. Once you have reviewed the estimate, paid any deposit required, and confirmed to us in writing that you wish to proceed with the request, we will process your request.
What can you expect after submitting a request?
CHCPBC will respond to you within 30 days (excluding weekends and statutory holidays) of receiving the request. We may extend the timeline for responding to your request if FOIPPA allows us to do so. If we extend the timeline, we will send you a letter of extension before the end of the initial 30-day period to inform you of the reason for the extension. We may be allowed or required to withhold some requested records, or some information within records. If we withhold records or information, in our response we will tell you which section of FOIPPA allows or requires us to do so.
How can you raise FOI questions, concerns, or complaints?
You can send FOI-related questions, concerns, or complaints to the CHCPBC Privacy Office. The CHCPBC Privacy Office will acknowledge your question, concern, or complaint and will tell you what to expect next.
If we cannot resolve your concern or complaint, you can contact the Office of the Information & Privacy Commissioner for British Columbia (OIPC). See the OIPC website for more information.
